Sample day at Wight HVAC (demo data)

  • Follow-up: Follow-up sent. Han Solo, 3 options on the table. Text with the approve link. (Sent, 38 sec)
  • Dispatch: Job booked. Jyn Erso, furnace clicks but won't light. Kanan Jarrus, 10:00. (Booked, 2 min)

The office that keeps going

Somebody is working the phones while you're under a house.

Tandem answers calls and texts, chases estimates and reminds people to pay. You set the rules. You can turn any of it off.

It answers. Then it books.

The receptionist picks up, takes the details and checks your open times. The job lands on the board. If you'd rather it only take details, set booking to request and your office confirms. It can't change a price, write an estimate, take a payment or issue a refund. You write its rules.

At 9:12 p.m. Ahsoka Tano calls to ask for a quote on replacing her 22-year-old furnace. The receptionist offers tomorrow between eight and ten, books it, and the diagnostic visit shows on tomorrow's board with the lead logged in the Inbox.

On Level

Estimates get chased. You don't have to.

Send an estimate and Tandem follows up for you. It texts the approve link on day 2 and emails on day 7. It stops the moment the customer decides. You choose which automations run.

Estimate 1007 for Han Solo, $800.65, goes out on day 0. A text follows on day 2 and an email on day 7. Han approves and signs, and nothing more is sent.

On Crew and Level

Reminders go out. Money comes in.

Overdue invoices get a reminder on the days you pick. The customer pays from the link, by card or bank transfer, and the invoice marks itself paid.

Dex's Diner owes $874.16. On day 7 a reminder text goes out with a pay link. Dex opens it, adds a 15% tip of $131.12, pays by card, and the invoice is marked paid with a receipt sent.

One job, start to finish

Follow one no-cool call from 4:40 p.m. to paid.

Six screens from the real product, with demo data. Scroll and watch the job move.

The call

Somebody picks up.

The receptionist answers, takes the details and checks your open times.

On Level

Inbox, Calls tab: the receptionist greets a caller for Wight HVAC, the caller says the air conditioner runs but does not cool, and the receptionist books tomorrow at 8:00 AM with Anakin.

Booked

It's on the board.

The job lands in the right tech's lane. Drag it if you'd put it somewhere else.

Every plan

The dispatch board: Han Solo's job moves from the To schedule tray into Anakin Skywalker's lane at 8:00 AM, next to the other technicians' jobs.

On my way

They know you're coming.

Your tech heads out and the customer gets a text with an arrival time and a live map.

Every plan

A customer's phone: 'Anakin is on the way. Arriving around 8:12 AM (about 20 min)' above a map with the technician's route to the house.

On site

No bars? Keep working.

With no signal the tech app saves what they do and sends it, in order, when the phone is back online.

Every plan

The tech app on a job with no signal: a banner reads 'Offline, 2 changes waiting', the job's new status is already showing, and when the phone is back online both changes are marked sent.

Good, better, best

The customer picks.

Options from your price book, on the customer's phone. They choose one and sign with a finger.

Every plan

A customer's phone showing an estimate with three options, Good (leak repair and recharge, $800.65), Better (a 3-ton heat pump) and Best, and the customer approving the first.

Paid

Paid from the link.

The customer pays by card or bank transfer, adds a tip if they want and gets a receipt.

Every planText a pay link: On Crew and Level

A customer's phone showing an invoice for $800.65 with tip choices (no tip, 10, 15 or 20 percent) and Pay by card; after the tap it reads 'Paid in full, thank you'.

That's one job. Here's everything else that runs your day.

Leads

Every lead, one pipeline.

Web forms, calls, texts and your booking page land on one board, matched to the customer when we can tell who it is.

A lead card for Bodhi Rook, a furnace that won't stay lit worth $400, is dragged across the pipeline from New to Quoted to Won.

Every planIntake links: On Crew and Level

Receptionist

Answers when you can't.

Picks up, answers questions, books open times and logs the lead. Hands over to your office when a person should.

A call transcript: the receptionist greets Bodhi Rook, hears that the furnace won't stay lit, offers tomorrow between 9 and 11, and books it.

On Level

Scheduling

Drag. Drop. Done.

Put jobs in a tech's lane, or let Auto-schedule pick the tech and time by skills, drive time and workload. It shows its reasons.

The dispatch board: a furnace job slides from the To schedule tray into Kanan's lane at 10 AM, with no clash.

Every plan

On my way

They'll know you're coming.

A text with a live map and an arrival time, on any phone. Nothing for the customer to install.

A map with a technician's dot moving along the route to the customer's address while the minutes left count down, ending on Arrived.

Follow-ups

Follow-ups that run themselves.

Estimate follow-ups, review requests and text-backs to new leads come ready-made, written out step by step. You switch each on.

The Estimate follow-up automation is on: after an estimate is sent, a text goes out on day 2 and shows as delivered, and an email follows on day 7.

On Crew and Level

Estimates and payments

Signed on the spot. Paid from a link.

Good, better, best on the customer's phone, signed with a finger. Then card or bank transfer from a link, tip included, receipt sent.

The customer picks the Good option for $800.65, signs with a finger, then pays $920.75 including a 15 percent tip by card; the button turns to Paid and a receipt is sent.

Every plan

You set the rules

Tandem does the routine work. You decide the rest.

Who can do what. What the receptionist may say. Which follow-ups go out. Every change has a name on it.

Roles

Pick who sees what.

Owner, admin, dispatcher, office and technician roles, or build your own. Technicians see only the jobs assigned to them.

A role switch cycles through Owner, a custom Office lead role and Technician, and a list of what each can see changes with it: a technician sees only their own jobs and customers.

Every plan

The receptionist's limits

A short list of things it can do.

Look up a caller, check open times, book one, log a lead, take a callback, hand the call to your office. It can't change a price, take a payment or issue a refund.

Two lists: the receptionist can look up a caller, check open times, book a visit, take a callback request and hand the call to your office; it can't change a price, write an estimate or invoice, take a payment or issue a refund.

On Level

Automation

Choose what goes out on its own.

Estimate follow-up, review requests and speed-to-lead texts come ready-made. You switch each one on or off.

Three ready-made automations with switches: Estimate follow-up and Review request are switched on and running; Speed to lead is off and sends nothing.

The trail

Every change has a name on it.

Each change records who made it: a person, an integration, the receptionist, the system or a customer.

An activity trail with five lines, each showing who acted, whether a person, the receptionist, the system or a customer, what changed and when.

Compare the plans

If you don't subscribe, your account drops to the Free plan. You can still sign in, see everything you had, and keep your free website. Jobs, scheduling, estimates, invoicing and payments stop until you subscribe in Settings → Plan & billing, and you're charged then. Nothing is charged unless you add a card.

It's on the Level plan. It answers your business line and your texts when you can't. It can look up the caller, answer questions about their appointment or invoice, check your open times and book one, log a new lead, take a callback request, cancel a visit the customer asks to cancel, and hand the call to your office when a person should take it. It speaks English only. Every call and transcript lands in your Inbox.

It needs a business phone number connected through Tandem, and you can turn it off at any time. Level includes 1,000 AI minutes a month, then $0.29 a minute.

Yes. Export your customer list and price book from Housecall Pro or Jobber as CSV or Excel files and import them under Settings → Import, on every plan. We recognize both apps' columns, show you every row before anything is saved, and check for customers you already have (skip them, merge them or add them anyway). Then bring over past jobs, estimates, invoices and payments the same way. Each is matched to its customer and keeps its dates, amounts and old number. Importing never texts, emails or charges your customers, and nobody is opted in to marketing unless your file says they agreed.

Not yet: consumer financing, Reserve with Google, Tap to Pay on the phone, a QuickBooks sync, Spanish screens or Spanish calls, Google reviews shown on your website, approval cards and an undo button for what the receptionist does, and moving your existing business number in from inside the app. Customers, your price book and your job, estimate, invoice and payment history do come over from spreadsheet exports (see Switching). We'd rather tell you now than have you find out on a job.
